How to export/import projects/programs/portfolios/resources to/from .csv file

In this article, we will review how to export/import projects, programs, portfolios, and resources to/from the .csv file. 

We will review the import option on the example of projects, but the process is the same for programs/portfolios/resources. 

The projects will be exported to the .csv file format and then this file can be edited and used to import the information from the .csv file to the projects page.

This functionality is available from the table and timeline view of the projects page. 

Please note: Users who have permission to view projects can only export the information from the projects page to the .csv file format. To be able to edit and then import this information back, users should have permission to edit the projects. 

To export the projects from the projects page perform the following:

1. Open the Projects page in the timeline or table view.

2. Select the projects that you need to export to the .csv file. 

3. Open the File drop-down and select the Export to CSV option. 

Please note: Only the fields included in the current view and all system-required fields will be exported to the .csv file.

If you need to include more fields in the .csv file, it is required to add these fields to the projects page view first. 

Please note: Only the selected projects will be exported to the .csv file. 

4. Open the .csv file and check or edit the information there as required. 

Please note: If editing the values (especially dates, statuses) in the .csv file, it is required to preserve the format used in the columns, as a different format is not supported. For example, if the value is provided as 'At Risk' and will be changed to 'AT RISK' or 'at risk', the changes will not be applied. If the auto-calculation of Statuses is enabled for your PPM Express tenant, the statuses cannot be edited from the .csv file.

Please note: The projects are found by UIDs and updated accordingly. If the UID is deleted from the CSV file or updated there, new projects will be created in PPM Express when importing data from this CSV file. If new projects are created in the .csv file, the UID field should be left empty, it will be added automatically on importing new projects to PPM Express. 

Some fields are read-only and cannot be edited via the .csv file.

If any invalid data is provided in the CSV file, it will be ignored when importing to PPM Express. 

5. Open the Projects page to import these projects. Click File => Import from CSV.

6. Select the required file from your PC and click Open. 

7. The projects will be imported to the projects page at once and the information will be updated accordingly.
