Jira tasks page

In this article, we will review the Jira tasks page, its layout, and detailed information on how the Jira items are synchronized to the Jira tasks page. 

You can review items synchronized from Jira on a separate Jira tasks page in PPM Express.

To access this page perform the following: 

1. Open the Project Dashboard of the project where you need to review Jira items

2. Navigate to the Schedule project section and select Jira tasks by clicking on the corresponding icon on the right. 

3. Click on the 'View Backlog from Jira' button on the left.  

Also, if you click on the number of the items on the Backlog Overview or Iteration Overview cards, the Jira tasks page will be opened at once and the items will be filtered out according to the selected work item.

On the Jira tasks page, you can review all items synchronized from Jira. 

Please note: The Jira tasks page is for viewing the items only, it is not possible to edit the items on this page. If you need to edit the items, open them in Jira, edit them there and run project synchronization in PPM Express, all changes will be present on the Jira tasks page when the synchronization is completed. 

Jira tasks page includes two sections: Summary and Tasks. 

Summary section includes two cards: 

  • Backlog Overview where you can quickly review completed and open Epics, New Features, Stories, Tasks numbers. 
  • Iteration Overview (iteration with the 'Started' status) where you can review the number of completed and open New Features, Stories, Tasks, Bugs of the current iteration.

All the numbers on the cards are clickable and can be used to filter out the information in the Tasks section. 

To get back to the PPM Express project, click on the project name on the top of the page or on the 'Back to Project Dashboard' button. 

To open the Jira system click on the Jira icon at the top of the Project Dashboard.

Tasks section includes all items synchronized from Jira. 

There are two views available: table and timeline. 

You can use multiple filters to quickly review the items you need. You can also create new filters and new views if needed.  

Using custom filters you can filter the information by any iteration you need to review the information for, etc. 

To hide/show all tasks in the tasks hierarchy use the Outline button. It is applied to all tasks at once, you can either Expand all tasks to show subtasks or Collapse all tasks to show only the parent task. 

Jira items are displayed by the created date, completed items are always at the bottom of the page. 

You can exclude (include) items that are synchronized from Jira to PPM Express. For this purpose open the Configure Connections window, and select the Configure Connection option => External Items Mapping. Exclude the items you do not need and click Save. 

Please note: The list of items on the External Items Mapping page depends on the project scheme in Jira. If projects of the Classic type share the project scheme, then the items will be the same on this page. Next-Gen project type includes a custom number of items, so the list of items will be different. 

Please note: If you need to link the Next-Gen project of the Private type, the synchronization account should be added to this project (at least as a viewer). For detailed information about the connection account requirements please refer to this article

The items hierarchy is hidden by default, you can always open the tree to review the child tasks. 

Jira fields will be mapped to PPM Expres fields in the following way: 

  • Story Points - Story Points
  • Description - Description
  • Assigned To - Assignee
  • Completed Work - Time spent
  • Remaining Work - Time remaining
  • State - Status from Workflow, e.g To-Do, In Progress
  • Effort - Original Estimate
  • Iteration - Sprint
  • Progress, % - calculate
  • Start Date - Start Date
  • Due Date - Due Date
  • Label - Tags
  • Key item ID - Parent
  • Priority: High-High; Medium-Medium; Low-Low;  Lowest - Low; Highest - Urgent.

Tasks Status is not editable and is set according to the Tasks finish date, taking into account the current date. The following calculation logic is applied: 

  • On Track - Finish Date is greater or equals Today; 
  • At Risk - The task is late for less than 10 days (from Today);
  • Critical - The task is late for more than 10 days (from Today);
  • Done- The task is marked as Completed. 

Please note: These default calculation logic rules can be customized on the Insight settings page. If custom rules are set there, the custom logic will be applied to the tasks statuses on the Jira tasks page.

Please note: If the auto-calculation of Statuses is turned off on the Insights settings page, the Tasks Statuses will be set to N/A for all tasks. 

The selected tasks can be exported to an Excel file by clicking on the Export button at the top of the Tasks section.
