This article outlines how to configure and manage the 'Role', and 'Department' resource and user fields in PPM Express. These fields enhance resource organization, streamline synchronization, and improve user and resource management.
1. Configuring resource-level fields
The 'Department' and 'Role' fields are available both on the Resources and People Management pages.
The 'Department' and 'Role' field values are added and configured at the resource level from the Resource dashboard -> Details section.
You can populate the description, make these fields required, and add new values and colors for each value. Click the 'Save Field' button to apply all the changes.
You can add, edit, or delete these values either for the resource or the user, and changes will be reflected in both.
Once the values are configured and populated on the Resources page, they are synchronized with their linked users, ensuring consistency. If the values are populated from the People Management page, they are also synchronized with their related resources.
Inline editing is available for these fields on both pages.
When inviting a new user, these fields are not available in the 'Invite People' pane. Once the invitation is sent, these fields will be populated in the User Settings pane on the People Management page if the user is linked to an existing resource that already has these values populated. However, if a new resource is created for the invited user, these fields will initially remain empty.
Users can be sorted and filtered by Roles and Departments. The Search feature also supports these fields, making it easier to locate and manage resources efficiently.
2. Azure AD Resource integration
'Role' and 'Department' are automatically populated during Azure AD Resource synchronization if the mapping is configured.
To configure mapping, open the Tenant settings page -> Azure AD Resource synchronization section -> Configure fields mapping. Add fields for mapping as required.
