How to edit a Process for Once Plan

In this article, we will review how to edit a Process for the Once subscription plan in PPM Express. 

On the Once plan in PPM Express, each tenant is limited to two available processes:

  1. Project Process (PMI) is set as the Default process in the tenant. All new projects are created using this process by default.
  2. PMI Process Demonstration is assigned to all projects from the demo dataset.

This same behavior applies to all tenants on the Once plan.

PPM Express Administrators can review the available processes on the Process Management page available from the gear button. 

When a tenant is new and you have not created any projects, the PMI Process Demonstration will be used for existing projects that were created with the tenant creation.

On the Once plan, custom processes cannot be created. Users are limited to selecting between the two default processes. Additionally, if both processes are already in use by active projects, editing either Process becomes restricted. 

If you need to modify one of the processes but both are currently in use, you can follow this workaround:

Note: This workaround requires switching a project from one Process to another. As a result, all projects will reset to the first stage of the new Process. 


1. Move all projects to Process 1. For this, open the Project -> Project Settings -> Project Process and select the necessary Process. 

2. Edit Process 2 to align it with the organization's specific workflows. Please refer to this article for more details about Process editing. 

3. Reassign projects back to Process 2.

This approach allows flexibility and creation of a fully custom Process within the plan’s limitations, but requires some manual project adjustments.
