Monday.com tasks page

In this article, we will review the Monday.com tasks page, its layout, and detailed information on how the Monday.com tasks/sub-tasks are synchronized to the Monday.com tasks page.

You can review items synchronized from Monday.com on a separate Monday.com tasks page in PPM Express.

To access this page perform the following:

1. Open the Project Dashboard of the project linked to Monday.com and where you need to review Monday.com items.

2. Navigate to the Schedule project section and select Monday.com tasks by clicking on the corresponding icon on the right.

3. Click on the ‘View Tasks from Monday.com’ button on the left.  

On the Monday.com tasks page, you can review all items synchronized from Monday.com.

Please note: The Monday.com tasks page is for viewing the items only, it is not possible to edit the items on this page. If you need to edit the items, open them in Monday.com, edit them there and run project synchronization in PPM Express, all changes will be present on the Monday.com tasks page when the synchronization is completed.

Monday.com tasks page includes two sections: Summary and Tasks.

Summary section includes three cards: Task Statuses, Task Progress, and Task Summary.

All the numbers on the cards are clickable and can be used to filter out the information in the Tasks section.

To get back to the PPM Express project, click on the project name at the top of the page or on the 'Back to Project Dashboard' button.

To open PPM Express tasks, click on the 'View PPM Express Tasks' button.

To open the Monday.com system click on the Monday.com icon at the top of the Project Dashboard.

Using the 'Configure' menu on the Schedules section, you can turn on data sections that you want to make visible on the page. Drag and drop is available to reorder the position of these sections. These changes can be saved to Project layouts and views. 

Tasks section includes all tasks/sub-tasks synchronized from Monday.com.

There are two views available: table and timeline.

You can use multiple filters to quickly review the tasks you need. You can also create new filters and new views if needed.  

Using custom filters you can filter the information as needed.

To hide/show all tasks in the tasks hierarchy use the Outline button. It is applied to all tasks at once, you can either Expand all tasks to show subtasks or Collapse all tasks to show only the parent task. 

The selected tasks can be exported to an Excel or PNG file by clicking on the Export button at the top of the Tasks section.

Monday.com tasks are displayed by the created date, completed tasks are always at the bottom of the page.

The tasks hierarchy is hidden by default, you can always open the tree to review the child tasks.

The progress of the group is calculated by taking into account the average value of progress across tasks (summary tasks are not included). 

Please note: The task fields will be synchronized according to the Tasks Import mapping settings. 

1. Open the Configure Connection settings => External Items Mapping.

2. Navigate to the Tasks option. 

Click on the pencil-like button next to the tasks/sub-tasks and set the mapping rules.

3. Save the changes.

Tasks Status is not editable and is set according to the Tasks finish date, taking into account the current date. The following calculation logic is applied:

On Track - Finish Date is greater or equals Today; 
At Risk - The task is late for less than 10 days (from Today);
Critical - The task is late for more than 10 days (from Today);
Done- The task is marked as Completed.

Please note: These default calculation logic rules can be customized on the Insight settings page. If custom rules are set there, the custom logic will be applied to the tasks statuses on the Monday.com tasks page.

Please note: If the auto-calculation of Statuses is turned off on the Insights settings page, the Tasks Statuses will be set to N/A for all tasks.
