How PPM Insights AI Project section works

In this article, we will review the PPM Insights AI Project section.  

PPM Insights AI gives you access to AI-driven functionalities from PPM Express directly. The PPM Insights AI Project section shows Project managers important insights generated from Project data and statistics, helping them concentrate on critical issues that could affect the Project's success. PPM Insights AI aims to save time during Project health assessments, prioritize topics demanding immediate attention, and boost daily work efficiency.


PPM Insights AI Project section

When the PPM Insights AI is enabled on your tenant, the PPM Insights Project section becomes available. This section aggregates all information that requires your attention for the selected Project and creates information cards so you can quickly review it and take action. 

To make the PPM Insights AI section visible on the Project dashboard, add this section to the views or layouts. 

When the section is added to the Project view, it is empty. 

Information cards in the PPM Insights AI project section can appear from two different sources:

  1. PPM Insights AI generation: created automatically when you click the Generate (or later Regenerate) button in the PPM Insights AI section.
  2. AI Agents: generated through the AI Agents functionality available from the ellipsis (⋯) menu in the upper-right corner of the project dashboard. For more information, refer to the How AI Agents Work article.

To add information cards with AI-generated insights based on the Project data from the PPM Insights AI section, click the Generate button. 

A list of Insights will be shown with the identified issues that need to be addressed as soon as possible. 

Two views are available for this session: cards and list view. Priority labels are assigned to each card to indicate its relative importance. Info hints on each card provide contextual guidance. Also, to check where a specific card was created, click the Info button on the card -> Created By field will indicate whether the card was generated by AI Agents or by PPM Insights AI.

The information on these Insights cards will be refreshed as soon as the user clicks the Regenerate button. 

Additionally, the Insights cards are refreshed daily at 8 pm (UTC) for tenants in the United States and at 1 am (UTC) for tenants in Europe. 

If there are cards created by AI Agents, they will also be regenerated automatically when you click the Regenerate button in the PPM Insights AI section. However, for cards to be updated on schedule or when the Regenerate button is clicked, the project must be subscribed to the corresponding AI Agent.

You can see the last data update date and time below and click the Regenerate button to refresh your data.  

If you click the Navigate button below any Insight in Card view, or the three dots in List view, the corresponding Project section opens in full-screen mode, displaying the details for the items in question (filtered accordingly). The corresponding Project sections can be opened in full-screen mode only if these Project sections are added to the Project dashboard view. For your convenience, you can create a separate view that includes all the necessary sections.

Note: If the information is in the Details Project section, make sure to add the fields that require your attention according to the Insight card to the view of this section. 


By clicking on any Insight, you open the View Insight panel, where detailed information about the selected Insight is displayed.

Creating Action Items from the Insights 

It is possible to create action items for the Insight cards, assign them to necessary resources, and track how the indicated problems are solved. There is an icon on each insight card at the bottom: 'Create Action Item'.

From the list view, the 'Create Action Item' button is available under the ellipsis button.


Clicking on an Insight opens the View Insight window, allowing you to create an action item from there.

Clicking on this button opens the Create Action Item panel, which is identical to the one in the Action Items Project section.

The following fields are filled in with data from the card:

  • Action Item Name: Title of the card;
  • Description: insight from the card generated with AI;
  • Assigned To: by default, the current user resource is set;
  • Date Assigned: today's date.

All fields can be edited as needed. The action item is then added to the Project Action Items section. Action Items may be created for the same cards many times. 

Delete

Note: Only users with Edit permission for the Project or Project Managers can create Action Items. For users with Collaborate or View Project permission, the Create Action Item icon is hidden on the cards.
