In this article, we will review the general concept of Warnings in PPM Express.
PPM Express warnings were created to indicate data inconsistency for Portfolios and Projects.
Portfolios/Programs Warnings
Warnings for Portfolios/Programs will appear if there is data inconsistency as for:
- Portfolios/Programs Statuses (for example, if Portfolio/Program Schedule Status is set to 'At risk' and Portfolio/Program Overall status is set to 'On track', the following warning will appear: Portfolio/Program Schedule Status is At Risk. Please consider changing Overall Status).
- Portfolio/Program Progress (for example, if there are Projects within a Portfolio/Program with 0% Complete and Portfolio/Program stage is set to 'Closed', the following warning will appear: There are Projects that are not completed within current Portfolio/Program. Please consider changing the Portfolio/Program stage.
- Portfolio/Program Key dates (for example, if there are Projects with late key dates within a Portfolio/Program and Portfolio/Program Overall status is set to 'On Track', the following warning will appear: At least one Project has late Key Dates. Please consider changing the Portfolio/Program Overall Status).
Project Warnings
Warnings for Projects will appear if there is data inconsistency as for:
- Projects Statuses (for example, if Project Cost status is set to 'At Risk' and Overall status is set to 'On Track', the following warning will appear: Project Cost Status is At Risk. Please consider changing Overall Status).
- Projects Progress (for example, if Project has more than 0% Complete and Project Progress is set to 'Not started', the following warning will appear: The Project has more than 0% Completed. Please consider changing Project Progress.
- Project Key dates (for example, if at least one Key date is more than 3 days late and Overall Project Status is set to 'On track'/'At risk', the following warning will appear: At least one Project Key Date is more than 3 days late. Please Consider changing Overall Project Status to Critical).
It is in our road-map to add more warnings for other PPM Express entities.
Disabling Warnings
It is possible to turn the Warnings off on the tenant level or per Project/Portfolio.
Let's review how to turn the warnings per Project as an example. For portfolios, the steps will be exactly the same.
To turn the warnings off per Project, perform the following:
1. Open the required Project.
2. Click on the ellipsis button in the right upper corner of the page to open the Configure menu.
3. Select Project Settings -> Calculated automatically option.
4. Select Warnings and click on this option to turn it off/on.
To disable warnings per Project/Program/Portfolio, a user should have permission for editing this Project/Program/Portfolio.
To disable warnings on the tenant level, open PPM Insights settings, and turn the warnings off there.
PPM Insights settings are available for PPM Express administrators only.
