AI Agents in PPM Express act as intelligent assistants that automatically analyze your project data, create suggested items, identify potential issues, and highlight important insights for project managers.
AI Agents are divided into three groups, each focusing on a specific aspect of project management:
- Identification agents provide proactive suggestions within the Project sections, creating suggested Risks, Issues, and/or Deliverables.
- Quality Insights agents help maintain data accuracy by identifying missing or incomplete information in project fields and generating cards in the PPM Insights AI section with the results.
- Insights agents focus on project timelines, generating cards in the PPM Insights AI section that show items due today, this week, or overdue.
Below you’ll find detailed descriptions of all available AI Agents.
Identification Agents
These agents analyze your project data and automatically create suggested items directly within the related project sections. Projects cannot be subscribed to the Identification agents; they can only be run manually.
Only internal PPM Express tasks are analyzed by the agents.
The agents also delete outdated suggested items to prevent them from piling up. An item is considered outdated if it was created 14 or more days ago.
1. Risk Identification
AI Agent that identifies potential risks based on project and task details.
Creates suggested risks in the Risks section of the project, helping project managers recognize and address risks early.
The Suggested Risks can be accepted, rejected, or edited before being added to the main Risks section.
2. Issue Identification
AI Agent that identifies potential issues using project, task, and key date details.
Creates suggested issues in the Issues section, supporting proactive issue management.
The Suggested Issues can be accepted, rejected, or edited before being added to the main Issues section.
3. Deliverables Identification
AI Agent that analyzes tasks, key dates, and risk details to detect possible deliverables.
Creates suggested deliverables in the Deliverables section of the project.
The Suggested Deliverables can be accepted, rejected, or edited before being added to the main Deliverables section.
Insights Agents
These agents automatically scan active project elements and create cards in the PPM Insights AI project section, highlighting items that are overdue, due today, or due this week.
When the corresponding cards are generated in the PPM Insights AI project section, you can review the information and create Action Items directly from these cards.
1. PPM Express Task Insights
Scans active PPM Express tasks and creates a corresponding card in the PPM Insights AI section if tasks that are due today are found, supporting timely task tracking and delivery.
2. Task Insights - Delayed Start
Scans active tasks and creates a corresponding card in the PPM Insights AI section if tasks have a delayed start (Start Date in the past with 0% Progress), helping project managers detect and address schedule delays early, supporting proactive schedule management.
3. Key Date Insights
Scans active key dates and creates a corresponding card in the PPM Insights AI section if key dates that are due today are found, supporting proactive milestone tracking.
4. Risk Insights
Scans active risks and creates corresponding cards in the PPM Insights AI section if any are overdue, due today, or due this week, helping teams mitigate risks before they escalate.
5. Action Item Insights
Scans active action items and creates corresponding cards in the PPM Insights AI section for those that are overdue, due today, or due this week, supporting timely follow-up and resolution of action items.
6. Issue Insights
Scans active issues and creates corresponding cards in the PPM Insights AI section if any are overdue, due today, or due this week, helping project managers stay on top of issue resolution.
7. Deliverable Insights
Scans active deliverables and creates corresponding cards in the PPM Insights AI section if any are overdue, due today, or due this week, supporting effective delivery management and adherence to deadlines.
8. Change Request Insights
Scans active change requests and creates corresponding cards in the PPM Insights AI section if any are overdue, due today, or due this week, promoting proactive change management.
If you generate a card with the agent only once, it will remain available for 7 days before being removed automatically.
Quality Insights Agents
These agents focus on the quality and completeness of your project data. They check for missing, incomplete, or inconsistent information and create corresponding cards in the PPM Insights AI project section, helping maintain accurate and reliable project records.
When the corresponding cards are generated in the PPM Insights AI project section, you can review the information and create Action Items directly from these cards.
1. Risk Quality Insights
Detects active risks with empty fields and/or 0% probability and creates a card in the PPM Insights AI section if such risks are found, supporting better risk tracking and evaluation.
2. Issue Quality Insights
Identifies active issues with empty fields and creates a card in the PPM Insights AI section if any are found, ensuring more complete and accurate issue records.
3. Project Quality Insights
Checks whether key project fields are empty and creates a card in the PPM Insights AI section if any are missing, improving overall project data quality and accuracy.
4. Project Elements Quality Insights
Verifies whether the project includes active elements such as action items, change requests, deliverables, issues, key dates, risks, and PPM Express tasks.
Creates a card in the PPM Insights AI section if the project does not have any of these elements, helping ensure project completeness and oversight.
