In this article, we’ll explain how users are added to PPM Express and how licenses and permissions are assigned and managed.
User Registration and Licensing
When the first user signs up and creates a PPM Express tenant for the organization, a 30-day trial license is applied automatically based on the selected plan. During the trial, unlimited users and team members can be added by default.
To manage your subscription or switch to a paid plan, open Settings (gear icon in the top-right corner) and select Billing Settings. Once a license is purchased, you can start assigning licenses to users.
There are three main methods to register users in PPM Express:
1. Invite Users Manually
PPM Express Administrators can invite users directly from the People Management page. See How to Invite Users to PPM Express Tenant for step-by-step instructions.
2. Auto Registration via Microsoft (Office) 365 or G Suite
Users from the same Microsoft (Office) 365 or G Suite domain can join the tenant by signing in. Once registered, you can assign them a license and permissions.
3. Azure Active Directory Synchronization (Enterprise Plan Only)
Users can be synced from Azure Active Directory (Azure AD). In this case, licenses are assigned automatically during synchronization.
A default set of permissions can be applied. Learn more in Azure Active Directory User Synchronization.
To manage users, go to Settings (gear icon) > People Management.
This page displays the full list of users registered in your PPM Express tenant.

Assigning Licenses and Permissions
When inviting users from the People Management page, you can assign a license type and define permissions at the time of the invitation.
If users register via Auto Registration or Azure AD sync, permissions are applied based on the default permission settings configured in People Management.
Each user can be assigned one of two license types:
User: Users with this license type can be granted a full set of permissions. By default, users with User licenses have manage resources, integrations, and PPM Insights permissions and permissions to view and create all Projects, Programs, and Portfolios and edit Projects, Programs, and Portfolios they own.
Permissions can be adjusted individually by the PPM Express Administrator in the People Management page.Team Member: Team Members have read-only access by default. They can view all Portfolios, Programs, Projects, and Roadmaps.
With the Collaborate on permission, admins can grant them access to edit tasks within specific Projects, Programs, or Portfolios. These access levels can be managed per user on the People Management page.
To assign or update a user's license and permissions:
Open People Management.
Click the ellipsis button (⋯) next to a user’s name and select Edit, or click the user’s name directly to open the User Settings panel.
Select the appropriate license type and set the necessary permissions.

Default Permissions for New Users
You can configure a default set of permissions for each licence type in the People Management page. These will be automatically applied when:
A new user joins PPM Express
A user's license type is changed (e.g., from Team Member to User)
This makes user onboarding more efficient and ensures consistency in permission settings across your organization.
